Position Overview

The Bid and Proposal Coordinator plays a crucial role in sourcing bid opportunities through client/procurement sites, including site registrations and renewals, and assisting the Sales and BD teams with the development, submission and tracking of Bids and Proposals. This multifaceted role requires not only a solid background in the construction administration and bid process but also meticulous attention to detail. Proficiency in sourcing bid and client sites and maintaining pursuits databases and assisting in preparing bid and proposal packages. The ideal candidate should demonstrate the ability to efficiently juggle multiple tasks across different stages of the client/procurement process.


Key Accountabilities

  • Lead the process for proposal development including search, coordination, planning and improvement of the bid process.
  • Research client and bid sourcing sites for potential opportunities.
  • Facilitate the bid/no bid process for opportunities across Canada.
  • Maintain the pursuit and client database and contribute to the generation, collection dissemination and storage of proposal related information.
  • Review and analyze in-bound proposal requests (such as RFQ, RFP, EOI, SOA, etc.) to help prepare responses.
  • Develop opportunity-specific content as necessary, including organizational charts and schedules and assist in the drafting of the complete layout, written, graphic, photo content specific to each proposal.
  • Function as the primary point of contact for the proposal team regarding communications and reminders on proposal deliverables and deadlines
  • Review final bid submittal packages for document completeness prior to closing.
  • Prepare and submit final bid packages through registered portals as required.
  • Submit bid or proposal questions to the client/buyer on behalf of the project team, and monitor and distribute responses.
  • Assist with final close-out processes and file management.
  • Support preparation of weekly and monthly sales reports as needed.
  • Ensure that all business activities are performed with the highest ethical standards and in compliance with the Fero Code of Business Conduct.
  • Adhere to all health and safety rules and procedures.
  • May perform other duties as assigned to meet the ongoing needs of the organization.


Qualifications

  • 5+ years of experience in a similar role within the Construction industry.
  • Modular construction experience is considered an asset.
  • Experience with developing, scheduling, and managing bid proposals construction.
  • Experience in MS Office and related applications (Word, Project, Power Point, Excel, Adobe Acrobat, Bluebeam). Adobe Photoshop and/or Illustrator is an asset.
  • Excellent communication and negotiating skills – can present proposals, product, and services to clients.
  • Highly motivated and target driven.
  • Experience in a team-oriented environment.
  • Strong time management skills along with organizational and analytical skills
  • Ability to prioritize and multi-task within a fast-paced environment and operate within tight deadlines and sales quota.
  • Ability to travel as needed.
  • Understanding of CCDC Documents will be considered an asset.
